Surgical Counselor

Job Summary:

The successful Surgical Counselor will contribute to the fulfillment of the Eye Center’s mission statement by acting as a liaison between the patient, physician, clinic, PreOp, and Surgery Center (ASC) through providing all scheduling services and providing pre-operative education to the patient. The focus of this position is to ensure that the ophthalmic patient, physician and surgical team experience a positive surgical outcome that exemplifies fulfillment of the mission statement at the Eye Center of Northern Colorado.

Major Responsibilities:

  • Maintains a friendly, positive and caring attitude with all patients, physicians and staff members
  • Interface with patients and their families to ensure care is consistent with their expectations
  • Provides patient education including, but not limited to, surgical technology, lens options, costs, and any pre-surgical preparation
  • Communicates with all members of the health care team to assure continuity of care for the patient, including but not limited to, special instructions for surgeries or changes to surgeries that may arise after initial scheduling is complete.
  • Follows patients’ surgical scheduling process and assists in tracking for 2nd eye cataract scheduling
  • Coordinates surgical procedures with satellite locations as well as off-site surgical centers and hospitals
  • Schedules all patients for pre-op visit, surgical procedure, and post-op visits for all locations and co-management locations and follows up on cancellations/reschedules
  • Serves as primary surgical counselor for assigned doctor(s) but maintains knowledge of all doctors’ surgical scheduling requirements, surgical options and surgical procedures
  • Maintains basic surgical coding knowledge as it pertains to procedure scheduling
  • Follows all scheduling protocols and checklists
  • Other duties as assigned

  • Must possess knowledge of procedures for pre-authorization of surgeries with insurance companies and work with billing department to align these pre-authorizations

  • Must be skilled in computer usage and be accurate in typing and documentation
  • Must possess ability to understand medical terminology and technology as it pertains to surgical devices, lenses, and processes, with the ability to explain these options to patients

Qualifications and Skills:

  • Minimum of High School Diploma or equivalent
  • Previous experience in medical appointment scheduling position preferred
  • Previous background in scheduling elective/medical surgical procedures preferred
  • Knowledge of electronic health record and scheduling program is preferred

Medical Assistant-Surgery Center

Job Summary:

A Medical Assistant is needed to fulfill the mission statement at ECNC by assisting with the effectiveness and efficiency of the surgical experience of the patient under the direction of the ASC staff.

Major Responsibilities:

  • Work with all members of the health care team to provide optimal care to the patient throughout their surgical experience
  • Maintain a friendly, positive, and caring attitude with all patients, other guests, physicians and staff
  • Maintain excellent physical and mental health
  • Display professionalism at work and in the community as a representative of the Eye Center
  • Organize daily work in order of priority
  • Take initiative in helping team members to provide the best care for the patient
  • Use supplies and resources in a cost effective manner
  • Stocking supplies, inventory management, in the pre/post-op areas
  • Cleaning patient care areas and medical equipment
  • Assisting in preparation of patient for surgery under the direction of the RN (ie: vital signs, pre-op paperwork, EKG’s, blood glucose monitoring, patient comfort and safety)
  • Assist in Phase II recovery with vital signs, refreshments, and discontinuing IV under RN supervision
  • Answer phone and take messages accordingly
  • Processing and filing of patient surgery charts
  • EMR documentation including logs, pre-op surgical visit, phone calls, post-op appointment, etc.
  • Escorting patients as needed
  • Communicate with other health care team members to assure continuity of care in the ASC and in other departments
  • Is prepared for emergency situations by knowing correct policy and procedure locations of emergency equipment.
  • If IV certified, under the assistance of the RN may start IV’s.
  • Other duties as assigned.

Performance Requirements:

  • Must be Basic Life Support (BLS) certified
  • Applicant must be able to follow direction and have good interpersonal skills and good customer service
  • Must be able to work independently on assigned duties
  • Must be proficient in computer programs such as Microsoft Word and Microsoft Xcel.
  • Must be able to learn and navigate EMR (NextGen)

Qualifications and Skills:

  • Minimum requirements include a high school diploma or equivalent
  • Preferred candidate will be a certified Medical Assistant, EMT, or CNA
  • Previous experience preferred

Medical Insurance Billing Specialist

Job Summary:

The successful Patient Accounts Representative will possess the ability to multitask in a fast paced environment. Critical thinking skills are a must in processing patient insurance, charge entry, payment information and in daily interactions with patients. Diplomacy and tact are required in interactions with patients, insurance companies and fellow workers. The typical day will require that a variety of tasks and responsibilities be carried out with a minimal amount of supervision. These include: daily data entry, timely and accurate flow of insurance claim processing and posting of payments.

Major Responsibilities:

  • Daily data entry and balancing
  • Nightly Close
  • File daily route slips
  • Answer all phone inquiries and written insurance inquiries from insurance company or patient
  • Aging (as assigned)
  • Post insurance and/or patient payments
  • Maintain an understanding of insurance requirements / contracts
  • Assist Front Desk with billing and insurance questions
  • Assist department coworkers with nightly close as needed
  • Maintains proficient use and knowledge of computer system/software and other office equipment
  • Maintain patient confidentiality
  • Perform other duties as assigned

Qualifications and Skills:

  • Minimum high school diploma or equivalent, some college preferred
  • Prior knowledge of ICD-10 and CPT coding
  • Ophthalmology office experience is preferred

Administrative Assistant-Call Center

The Eye Center of Northern Colorado is currently in need of a full-time Patient Service Representative in our very busy Call Center. This individual will contribute to the fulfillment of the Eye Center’s mission statement by making appointments, verifying insurance participation, acting as a liaison between referring providers and ECNC physicians. They will also be a welcoming voice for all patients calling the Eye Center by following established office guidelines and serving as a general information source for patients. Previous customer service experience and a strong desire to provide the utmost quality patient service experience is required for this position.

Major Responsibilities:

  • Always positive and friendly with patients, co-workers and anyone who calls in to the Eye Center
  • Verifies patient information and confirms insurance information (including vision plans), and referral status
  • Obtains and retains knowledge of insurance company participation and requirements including when an authorization is needed, or when a referral is needed
  • Registers patients correctly in computer, providing consistency for patient listing and billing information- including name, DOB, address, phone number, email address, insurance with few errors
  • Answers general questions for patients following established guidelines
  • Assists with answering and triaging incoming telephone calls and routing according to established guidelines using the provided triage guide
  • Answers and screens telephone calls appropriately and gives non-medical instructions to patients in preparation for their visit to the office
  • Serves as primary appointment scheduler for all physicians and other resources in clinic, using the provided scheduling guide
  • Responsible for scheduling all in-office appointments
  • Maintains awareness of schedule and problem solves when needed
  • Answers questions regarding insurance billing and office financial policies
  • Assists patients as needed
  • Maintains the goal of providing the highest level of customer service to all patients
  • Assists in maintaining work area
  • Ensures confidentiality of medical records and patient information in accordance with HIPAA laws

Patient Service Representative Front Desk

Job Summary:

The successful Patient Service Representative for the front desk will contribute to the fulfillment of the Eye Center’s mission statement by making appointments, greeting and checking patients in and out for each doctor in a friendly, organized and efficient manner while facilitating smooth patient flow within the office by following established office guidelines and serving as a general information source for patients.

Major Responsibilities:

  • Greets patients upon their arrival to the office
  • Verifies patient information and confirms insurance information and referral status/authorizations
  • Obtains and retains knowledge of insurance company participation and requirements
  • Registers patients correctly and completely in computer, providing consistency for patient listing and billing information
  • Answers general questions for patients following established guidelines
  • Prints route slip for appropriate resource to proper location
  • Responsible for scheduling all in-office appointments per recalls on route slips
  • Maintains awareness of schedule and problem solves when needed
  • Collects payments from patients and correctly balances all collected monies against receipts
  • Answers questions regarding insurance billing and office financial policies
  • Generates and dispenses tokens for the Patient Portal for every patient
  • Enters recalls in computer for future appointments
  • Assists patients as needed with calling for transportation, writing check, dialing phone numbers, etc.
  • Directs patients to appropriate locations- main waiting room, optical, restrooms, ASC…
  • Maintains the goal of providing the highest level of customer service to patients
  • Assists in maintaining work area and reception area including making coffee, organizing magazines, picking up trash on floors…
  • Ensures confidentiality of medical records and patient information
  • Performs other duties as assigned

Qualifications and Skills:

  • Knowledge of basic computer skills and application software
  • Demonstrated ability to multi task
  • Demonstrated knowledge of English grammar and spelling
  • Effective in establishing and maintaining working relations with patients and staff
  • Possesses exceptional customer service skills
  • Demonstrated ability to maintain confidentiality of sensitive information (HIPAA compliance)
  • High school diploma or GED

Ophthalmic Technician/Medical Assistant

Job Summary:

The successful Ophthalmic Technician will contribute to the fulfillment of the Eye Center’s mission statement by quality patient care and technical support of a Doctor/Technician team with minimal supervision.

Major Responsibilities:

  • Patient intake and workup, following standardized protocol
  • Ophthalmic diagnostic testing
  • Patient counseling and education as needed
  • Awareness of patient flow issues and ability to maintain efficient clinical flow
  • Update daily schedule assessing no-shows and add-ins
  • Scribing in a rotational pattern
  • Answer and return phone calls and write scripts as requested by physicians and other departments

Additional Responsibilities:

  • Stocking and cleaning clinic as needed
  • Facilitate patient experience by assisting physician in overall patient care
  • Work within the confines of the Eye Center team by assisting other departments with answers to questions, patient triage, etc.
  • Self-study is required to obtain/maintain ophthalmic technician certification within 18 months of employment
  • Maintain a professional demeanor, including dress and work conversation
  • Understand and solve patient complaints
  • Maintain effective working relationships with other staff and doctors
  • Other duties as assigned

Qualifications and Skills:

  • High school diploma or equivalent required
  • Current JCAHPO certification preferred
  • AAS in Ophthalmic Medical Assisting or equivalent in work experience
  • Prior experience in a fast paced medical office and in electronic health record preferred
  • Superior customer service skills
  • Effectively and empathetically communicate in both oral and written formats
  • Fluency in Spanish a plus
